Terms and Conditions
Hotel Foxtrot’s terms and conditions apply to all bookings made directly with us via our website, email, or phone. Please review them carefully, as completing a booking constitutes your acceptance of these terms. These conditions do not affect your statutory rights, and we reserve the right to amend them as needed.
1. Booking and Payment
1.1 Deposit
A non-refundable 30% deposit is required to secure your booking. This deposit can be paid via online credit card payment or direct deposit into our Japanese bank account. For bookings made through third-party travel agents, full payment is required at the time of booking.
1.2 Final Payment
Final payment must be received no later than 45 days prior to arrival. Once full payment is received, your booking will be confirmed. Any bookings made within 45 days of arrival require 100% payment at the time of booking.
1.3 Amendments to Your Booking
We will do our best to accommodate booking amendments. However, we cannot guarantee that all change requests can be fulfilled.
1.4 Cancellation Policy
For cancellations made more than 45 days before check-in, only the 30% deposit will be retained. For cancellations made within 45 days of arrival, all monies paid are non-refundable.
Hotel Foxtrot reserves the right to cancel your booking in rare circumstances. In such cases, you will receive a full refund unless the cancellation is due to non-payment or external events beyond our control, such as natural disasters, epidemics, or severe weather conditions.
2. Check-in, Check-out, and Minimum Stay
2.1 Check-in
Check-in time is 15:00. We will endeavour to have your room ready upon arrival, but guests arriving early are welcome to use communal facilities until their room becomes available. Luggage storage is also available.
2.2 Identification
Upon check-in, guests will be asked to provide valid photo identification, which will be held on file to comply with local authority regulations.
2.3 Check-out
Check-out time is 10:00. We kindly ask guests to notify staff of their intended departure time and to settle any outstanding charges the day before departure. This helps us organise the transfers and logistics of operations.
2.4 Late Check-out
Late check-out may be offered if operationally feasible, free of charge. Please ask in advance. Luggage storage is available for guests departing later in the day.
2.5 Minimum Stay
A minimum stay of 3 nights is required during peak season (Dec 20 – Feb 28). Exceptions may be considered based on availability.
3. Pricing and Taxes
3.1 Pricing
Rates published on our website or by authorised agents are accurate at the time of booking. Rates may change based on demand or promotional offers. No refunds are provided if rates decrease after your booking is confirmed.
3.2 Taxes
All room rates include a 10% consumption tax unless otherwise specified.
3.3 Discounts
All discounts, including promotional offers, are at the discretion of Hotel Foxtrot and may be changed or withdrawn at any time without notice.
4. Parking
4.1 Guest Parking
Free on-site parking is available for guests. Please ask a staff member for parking guidelines upon arrival.
5. Liability
5.1 Guest Safety
Hotel Foxtrot does not accept liability for any injury, loss, or damage to guests or their vehicles unless proven to be caused by our staff’s negligence.
5.2 Loss of Personal Belongings
We are not responsible for the loss or theft of guests’ personal belongings. Please store valuables securely.
6. Privacy Policy
We collect data during the booking process, which may be used to notify you of promotions and offers. We will not share your data with third parties without your consent.
7. Damages and Breakages
Please treat Hotel Foxtrot’s property with care. You are responsible for any damages or stains caused by you or your party. Compensation for damages may be required and deducted from your credit card on file if unpaid locally. Please report any incidents as they occur.
8. Keys and Security
8.1 Room Keys
One set of keys is provided per room. Lost keys will incur a replacement charge.
8.2 Access: Japan is a very safe country and we trust in our local community. We leave our doors unlocked at all times so access into Hotel Foxtrot will never be a problem.
9. Smoking Policy
Hotel Foxtrot is a non-smoking property. Smoking will not be tolerated in public areas including the bar, restaurant and lobby. Guests are kindly requested to use designated smoking areas.
10. Special Requests
We will do our best to honour special requests but cannot guarantee their availability. Specific room types or facilities should be booked and paid in advance to ensure availability.
11. Children and Pets
11.1 Children
Children are welcome. Please supervise children at all times.
11.2 Pets
Unfortunately, pets are not permitted at Hotel Foxtrot.
12. Guest Conduct
12.1 Respect Towards Staff and Guests
Hotel Foxtrot reserves the right to refuse service or end any guest relationship if behaviour is disruptive, causes inconvenience, or is offensive, abusive, or threatening to other guests, staff, or suppliers, whether in person, by phone, in writing, or online. In such instances, guests may be required to vacate the premises, forfeiting any refunds, compensation, or reimbursement of expenses. Hotel Foxtrot may also seek compensation for any damages, costs, or expenses (including legal fees) resulting from this behaviour.This policy extends to all members of your party.
12.2 Guest Obligations
Guests agree to respect hotel property and the comfort of others, adhering to our health and safety guidelines.
12.3 Occupancy
During occupancy of your room and whilst on lodge premises you agree that you and all members of your party will not:
a) Make excessive noise
b) Damage or remove hotel property
c) Leave the room in a disorderly state or such state as will cause distress to the cleaners
d) Use any electrical appliance, other than those supplied or approved by hotel Foxtrot.
13. Food and Beverages
13.1 Food Allergies
Hotel Foxtrot’s kitchen strives to accommodate dietary needs but cannot guarantee allergen-free meals.
13.3 Offsite food and drink purchases
We request that you refrain from bringing food and/or beverages purchased offsite into the dining, bar and/or communal areas of the lodge.
13.2 Alcohol Service
Alcoholic beverages are served following local laws. Staff reserve the right to refuse service.
14. Copyright and Trademark
The Hotel Foxtrot website, brand, and content are property of Hotel Foxtrot and are protected by Japanese copyright law and international intellectual property agreements. Hotel Foxtrot product names and logos are trademarks or registered trademarks of Hotel Foxtrot.
